Role Overview:
The Marketing Project Manager & Administration role is a key support function within the Marketing & Creative team. This position combines project coordination, administration, and day -to -day operational support to ensure the team runs smoothly, stays on track, and delivers projects on time.
Acting as a central point of coordination, this role supports marketing leadership, creative, events,
and wider marketing functions. It is hands -on, highly organised, and requires someone comfortable juggling multiple priorities, following up on details, and keeping momentum across projects.
Key Responsibilities & Tasks:
Project Management & Team Coordination
- Maintain and manage marketing projects in Asana, ensuring tasks, deadlines, and owners are clearly defined and up to date.
- Track project timelines and deliverables across campaigns, events, creative, and operational marketing tasks.
- Follow up with team members on task progress and upcoming deadlines.
- Support workload planning and update the HoD on overlapping deadlines or bottlenecks.
- Assist with planning, scheduling, and coordination of marketing initiatives.
- Keep key stakeholders informed of project status when needed.
Marketing Administration, Purchasing & Finance Support
- Process invoices, purchase orders, and expense tracking for the marketing team
- Liaise with Finance on payments and reporting requirements
- Prepare and submit HR attendance reports and support general HR -related admin for the team
- Manage ordering, purchasing, and supplier coordination (printing, production, equipment,
- materials, etc.) help with sourcing suppliers where needed.
Creative, Events, & Production Support
- Provide logistical and administrative support for photo shoots, video shoots, and content production
- Assist with booking talent, equipment, locations, and production needs
- Support event planning and execution with admin, scheduling, supplier coordination, and on -site assistance when required
- Help with post -project reporting, documentation, and wrap -ups
Park Operations & Department Liaison
- Act as a key liaison between Park Operations, Engineering, and Front Office, or Retail teams, with the Marketing & Communications team
- Obtain clear and accurate briefs for signage, wayfinding, posters, banners, and other in -park marketing assets
- Improve communication flow between on -the -ground park teams and marketing to reduce delays, rework, or confusion on briefs
- Help place work orders for engineering or operations requests
- Coordinate multiple design and update requests coming from park and operations teams, helping prioritise and manage timelines
- Ensure marketing assets are delivered accurately into the park environment and align with brand, safety, and operational requirements
- Support coordination with engineering and operations teams to ensure installations and updates are completed to a high standard
- Quality Check on marketing projects by confirming completion, accuracy, and quality of work on site
Leadership & Team Support
- Act as day -to -day administrative and project support for the Head of Marketing & Communications
- Assist with scheduling, coordination, and follow -ups as needed.
- Support cross -team communication and ensure information flows smoothly.
- Function as an “office manager” for the marketing team, helping keep systems, processes, and workflows organised.
Qualifications:
- Proven experience in project coordination, administration, or office management (marketing or creative environment preferred).
- Strong organisational and time -management skills, with the ability to manage multiple projects at once.
- Confident using project management tools (Asana or similar).
- Comfortable working with budgets, invoices, and finance processes.
- Clear communicator who is proactive in following up and problem -solving.
- Highly reliable, detail -oriented, and solutions -focused.
- Able to work across creative, operational, and administrative tasks with flexibility.
- Energetic, positive, and passionate about creating memorable experiences.
- Interest in sustainability and conscious living is desirable.
- Proficient in Google Workspace, Canva, Adobe Creative Suite, video editing tools, and relevant software.
