This role is part of a
confidential expansion initiative
within a fast -growing FMCG group. As the the organization is strengthening its commercial operations and administrative backbone to support distributor management, order processing, and payment coordination.
The role requires strong attention to detail, cross -functional coordination, and the ability to support a high -volume GT sales operation in a dynamic and fast -paced environment.
Role Summary
The
Sales Administration – General Trade
role supports the GT Sales team by managing administrative processes related to distributor Purchase Orders (PO), claim processing, payment documentation, and coordination with warehouse and finance teams.
This role plays a critical part in ensuring smooth order fulfillment, accurate documentation, and effective communication between sales, distributors, warehouse, and finance.
Key Responsibilities
Sales Administration & GT Support
- Manage national administrative tasks for the General Trade Sales team, including
sales claims processing
and program -related documentation. - Handle administrative requests and inquiries from the sales team related to distributor support and operational matters.
- Maintain accurate records of sales documentation, claims, and distributor -related data.
Order Management & Coordination
- Handle
end -to -end Purchase Order (PO) processing
from distributors. - Coordinate closely with the
warehouse and supply chain teams
to ensure product availability and timely order fulfillment. - Monitor order status and support delivery coordination until goods are received by the distributor.
Payment & Documentation Support
- Support the
payment process
, including familiarity with
BG (Bank Garansi)
and required commercial documents. - Ensure completeness of delivery notes and related documentation until goods are successfully delivered.
- Coordinate with the
Finance / Account Receivable team
for invoice accuracy and payment follow -ups.
Return & After -Sales Process
- Support
return processes
, including damaged goods and kick -off returns, in coordination with internal teams. - Ensure return documentation is properly recorded and aligned with company procedures.
Qualifications
- Bachelor’s degree in any related field.
- Minimum
1 year of experience
in Sales Administration, Sales Admin, Order Management, or similar administrative roles (FMCG background is a strong advantage). - Proficient in
MS Excel and Google Spreadsheet
with good database management skills. - Strong attention to detail and accuracy in data entry and documentation.
- Good analytical and problem -solving skills.
- Able to handle confidential and sensitive information with discretion.
- Available to start immediately or within a short notice period.
- Willing to work
fully onsite (WFO)
